When you complete a Layerbound workflow
If you access a Layerbound link provided by a business, training provider, organisation, club or other Layerbound customer, that organisation will normally determine why your information is collected and how it is used.
In these circumstances:
- the organisation is normally the data controller; and
- Layerbound normally acts as a data processor on its behalf.
Layerbound processes the information submitted through the workflow in accordance with the organisation's instructions and our contractual and legal obligations.
The organisation using Layerbound is responsible for determining its lawful basis for collecting and using your information.
When Layerbound processes information for its own purposes
Layerbound may also act as a data controller where we determine how and why information is used.
This may include information relating to:
- Layerbound customers and prospective customers
- people who contact us directly
- account administrators
- website visitors
- billing and commercial relationships
- security, fraud prevention and service administration
The information collected through Layerbound depends on the workflow configured by the organisation using our platform.
Information you provide through a Layerbound workflow
This may include:
- name
- email address
- telephone number
- postal address
- booking information
- appointment or class selections
- dates and times
- availability
- service requirements
- enquiry details
- quote-request information
- preferences
- application or enrolment information
- eligibility information
- previous qualifications or experience
- employment information
- employer or business details
- written responses

- any other information requested by the organisation operating the workflow
Not every Layerbound workflow collects all of this information.
The organisation creating the workflow determines which information it asks you to provide.
Special category information
Some organisations may configure workflows that request information considered particularly sensitive under data-protection law, such as information relating to health, disability, ethnicity or other special category information.
Where this occurs, the organisation collecting the information is responsible for ensuring that it has an appropriate lawful basis and any additional legal condition required to process that information.
Layerbound processes such information on the organisation's behalf where necessary to provide the service.
Information collected automatically
When you access Layerbound, we may collect limited technical and operational information, including:
- date and time of access or submission
- browser type

- technical logs
- error and security information
- basic usage information necessary to operate and protect the service
This information may be used to maintain security, diagnose technical issues, prevent abuse and operate Layerbound reliably.
People completing public Layerbound workflows will not normally need to create a Layerbound account.
Businesses and organisations using the Layerbound administration platform may have authorised user accounts.
For account users we may process information such as:

- account permissions
- login and security information
- activity relating to administration of the Layerbound service
Where Layerbound acts as a processor, we process information so that the organisation using Layerbound can operate the workflow it has created.
Depending on the workflow, this may allow an organisation to:
- manage bookings or appointments
- manage class registrations and waiting lists
- respond to customer enquiries
- provide quotations
- assess applications or eligibility
- process learner or customer intake
- manage enrolment
- assess service requirements
- manage prospective customers or leads
- communicate with users about their request or booking
- provide services requested by the individual
- administer other business processes configured through Layerbound
Layerbound does not determine the organisation's purpose or lawful basis for these activities.
Where Layerbound acts as a controller, we may use personal information for purposes including:
- operating and administering the Layerbound service
- managing customer accounts
- providing customer support
- responding to enquiries
- managing contractual relationships
- invoicing and financial administration
- improving the reliability and performance of our platform
- monitoring and protecting the security of our systems
- preventing fraud, misuse and unauthorised access
- complying with legal and regulatory obligations
- establishing, exercising or defending legal claims
Depending on the circumstances, our lawful basis may include:
- performance of a contract
